Construction Operations & Compliance Coordinator
(Remote - Pacific Time Business Hours)
We’re looking for a detail-obsessed Construction Administrator who thrives on keeping projects compliant, organized, and protected. This role touches construction, real estate, and legal/insurance workflows — you’ll manage subcontractor onboarding, insurance renewals, inspection items before closings, and accurate documentation for attorneys. You’ll also support basic HR onboarding and fill in contract templates to ensure our entities are always protected.

What You’ll Be Responsible For
Inspection & Transaction Support — Track and confirm inspection items are resolved before closings, document thoroughly, and communicate with realtors/homebuyers to keep transactions smooth.
Subcontractor Onboarding & Compliance — Manage W-9s, COIs, endorsements, agreements, and lien releases end-to-end, ensuring no contractor steps on site without complete documentation.
Insurance Oversight — Manage GL, builders risk, umbrella, rental; track renewals/endorsements; ensure continuous, compliant coverage.
HOA Documentation — Provide attorneys with accurate budgets, insurance details, and construction data; accuracy here protects closings and compliance.
HR & Team Support — Onboarding/offboarding accuracy; keep recruiting pipelines organized; coordinate interviews; uphold compliance standards.
Warranty Claims Management — First contact for homeowners, log and coordinate resolutions quickly with subs.
Contracts & Intercompany Agreements — Fill in standard templates for each new job and confirm intercompany contracts are executed and filed.

We’re looking for a Design & Procurement Administrator who blends a sharp eye for design with flawless administrative execution. In this role, you’ll own the details that make or break our projects: FF&E / Interior Design Procurement Coordinator – Residential Construction (Remote)

🔧 What You’ll Be Responsible For
Procurement Leadership
Take ownership of sourcing and ordering all finishes, fixtures, and appliances. You’ll negotiate pricing and packages with vendors, build strong supplier relationships, and proactively source cost-effective alternatives when designer-specified items exceed budgets — all without sacrificing quality or design intent.
Design Documentation & Field Support
Prepare lighting elevations, finish boards, cut sheets, and spec packets for subcontractors. You’ll work with cabinet suppliers, shower glass installers, and specialty trades to ensure accurate orders that align with project design. You’ll repurpose proven design details for new projects and support the field with clear, installation-ready documentation that eliminates mistakes.
Manufacturer Warranty Oversight
Take ownership of warranty claims for defective or faulty materials. You’ll manage manufacturer communications, track replacements, and make sure resolutions are secured quickly and properly documented.
Design Systems Development
Partner with leadership to build plug-and-play design systems: scalable finish palettes, fixture packages, and repeatable elevations that allow us to deliver consistent, semi-custom infill homes in one of the most competitive markets in the country. You’ll maintain a master finish library in BuilderTrend and Google Drive, ensuring repeatability and efficiency.
Budget Alignment & Reporting
Track selections against allowances, flagging variances before they become problems. You’ll prepare spreadsheets and reports that show total spend by line item (e.g., lighting, plumbing, appliances) before final purchase approvals, helping leadership make confident, data-driven decisions.
